Who we are
Groundwork is a trading name of ZYNXIZE LTD, a company registered in England and Wales, company number 12416661. Our registered office is 20-22 Wenlock Road, London N1 7GU, England.
ZYNXIZE LTD is the data controller for the personal data described here. You can contact us about anything in this notice at jay@groundworkfilm.co.uk.
Who this notice is for
It covers two groups: people who contact us or become clients, and people we contact about our services who have not dealt with us before. If you received an email from us out of the blue, the next section is the one that concerns you.
If we contacted you and you have not dealt with us before
What we hold
Your name, your job title, your work email address, the name of the organisation you work for, and the publicly available information about that organisation that led us to get in touch.
Where we got it
From publicly available sources. That means the organisation's own website, published policy documents, press releases, job advertisements, trade press, regulatory registers, planning documents and Companies House. We do not buy contact lists and we do not guess email addresses.
Why we hold it
To contact you about compliance training film production, because it is relevant to a role you hold or a project your organisation has publicly announced.
Our lawful basis
Legitimate interests, under Article 6(1)(f) of the UK GDPR. Our interest is in finding organisations that need the service we provide. We have assessed this against your interests and rights and concluded that a small volume of relevant, role appropriate business contact does not override them. You can ask us for a copy of that assessment.
How long we keep it
Twelve months from our last contact with you, unless you become a client or ask us to keep in touch. If you tell us to stop, we keep only your email address on a suppression list, indefinitely, so that we do not contact you again by mistake.
If you contact us or become a client
We hold the details you give us and the correspondence between us, to provide the service and to meet our legal and accounting obligations. Our lawful basis is performance of a contract, or legitimate interests where we are responding to an enquiry, or legal obligation for records we are required to keep. Client records are kept for seven years to meet HMRC requirements.
Who we share it with
We do not sell or share your personal data for anyone else's marketing.
We use third party services to run the business, and your data passes through them. Email and document storage are provided by Google Workspace. This website is hosted by Cloudflare. Each provider acts on our instructions and is bound by contract. Where a provider processes data outside the UK, transfers are covered by the UK International Data Transfer Addendum or an equivalent safeguard.
Your rights
You have the right to ask us for a copy of the personal data we hold about you, to have it corrected if it is wrong, to have it deleted, to restrict how we use it, and to receive it in a portable format where that applies. You also have the right to object to our use of it.
You have an absolute right to object to direct marketing. If you tell us to stop, we stop. There is no balancing test and you do not have to give a reason. Reply to any email from us with the word STOP, or email jay@groundworkfilm.co.uk, and we will not contact you again.

Complaints
If you are unhappy with how we have handled your personal data, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk, by calling 0303 123 1113, or by writing to the Information Commissioner's Office, Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF.

Changes
We update this notice when our practices change. The date at the top tells you when it last changed.
